Dental intake and follow-up, with staff approval
A proposed intake and follow-up queue for a clinic front desk. This is an illustrative workflow, not a client story or evidence of revenue growth, patient retention or time savings.

Illustrative starting point
Before: scattered inputs
In this example, appointment requests and callback notes arrive through different channels. Front-desk staff need to distinguish an administrative question from a request that needs clinical review, then confirm the next step without losing the original message.
Proposed change, not an achieved outcome
After, as proposed: a reviewed handoff
- Receive only what is needed. Capture contact details, the reason for the enquiry and the preferred reply method. Use synthetic or redacted records when exploring the first version.
- Prepare the next step. AI could categorize an administrative request and draft a reply from clinic-approved information. Ambiguous or clinical questions would go to staff rather than receive a generated answer.
- Ask staff to approve. A staff member checks the wording, recipient and proposed action. Any calendar or practice-management connection would need a separately approved scope and access controls.
- Confirm and record. Staff confirm the appointment or follow-up through the agreed process. Keep a visible status so the next person can see what was approved and what still needs attention.
Pilot measurement plan
What to test before expanding
During a pilot, compare response time, routing accuracy, staff edits and unresolved callbacks with the existing process. Review the same kinds of requests on both sides. Booking, no-show and revenue changes would need separate evidence; they are not results of this example.
Plan a clinic admin workflow
Bring an example administrative task without patient records. We can identify the staff review step, the systems involved and a safe starting scope.
