An AI receptionist for Canadian businesses: plan the handoff first

An AI receptionist should make it easier for a person to follow up. Before choosing a voice or a tool, decide which enquiries it can handle, what it needs to collect and when it should hand over. For an Canada service business, the useful first outcome is often a clear note that reaches the right person.

01

Keep the first job narrow

Choose one situation, such as gathering an after-hours enquiry or answering a small set of approved service questions. Write down the information the receptionist may provide and the information it should not guess. An opening-hours answer is different from promising availability, quoting a price or accepting a job.

Create an approved service reference with the wording staff already use. Include the service area, the basic contact information and the limits of the enquiry process. Assign somebody to keep it current. When the assistant lacks a confirmed answer, it should collect the question for a person rather than improvise a commitment.

02

Collect enough for a useful reply

For a typical service enquiry, a name, a way to reply, a short description and the requested service may be enough to begin. Only ask for other details when they help the person handling the request. Let the caller or visitor clarify an uncertain answer instead of forcing it into a category.

Design the note the team will receive. Separate what the person said from an interpretation suggested by the assistant. Flag incomplete information and keep the original context available to the authorised reviewer. Test whether a staff member can understand the request without listening to an entire conversation again.

03

Define the human handoff

List the situations that should reach a person. These can include an unusual request, a complaint, an uncertain answer or a request beyond the assistant’s agreed scope. Decide how the message is delivered and who checks the queue. A handoff needs an owner as well as a button or notification.

Tell customers what the next step means. Collecting an enquiry is not the same as confirming a booking or promising an immediate reply. Use clear confirmation wording and avoid suggesting that somebody is already handling the request when that has not happened. Test the wording with the people who normally answer the phone.

04

Try the awkward conversations

Use short, incomplete and ambiguous test enquiries. Try background noise if voice is involved, a changed phone number and a question about a service you do not offer. Check whether the assistant keeps the conversation within scope and whether the resulting note is usable.

Discuss how conversations are processed, recorded and retained before launch. Make the use of an AI assistant understandable to the people interacting with it. Review the first requests with staff, correct the reference information and keep a simple way to switch back to human handling if the service is not working as expected.

Bring this to the conversation

A working brief.

  • One clear enquiry situation
  • Approved answers and limits
  • Only necessary contact details
  • A named person for handoffs
  • Accurate confirmation wording

A few useful questions.

Can an assistant confirm every booking?

Only if that action is explicitly part of the design and connected to reliable availability information. An enquiry collector should say it is collecting a request.

What should we review in a pilot?

The accuracy of the collected details, the clarity of the handoff and whether the next person can respond without reconstructing the conversation.
