SHAPEDSI FLOW · WORK, IN MOTION

Flow

Less back and forth.
More flow.

Keep schedules, invoices and field notes moving between the tools you use. Agree on the rules, automate routine steps and send exceptions to a person.

An imagined workroom overlooking turquoise ocean and Cabo rocks, with a laptop, notebook and linen books on a wooden desk.

WHAT FLOW IS

Flow is how your systems stay in step. Update a person, a shift or an invoice once, and it reaches everywhere it belongs, with someone on your team deciding anything that doesn’t add up.

WHAT FLOW CAN INCLUDE

Three ways
to keep moving.

Start with the hand-off that costs you the most time.
Everything is scoped with you before work begins.

01

Records that stay in step

Change something once and it updates where it should, across HR, payroll, scheduling, accounting and field apps.

  • Your systems and shared records mapped first
  • Clear rules for which system has the final word
  • Mismatches flagged for a person, never quietly overwritten
02

Everyday automation

The routine hand-offs that fill a week, handled reliably so your team can stay on the work itself.

  • Notifications that reach the right person
  • Recurring reports gathered and sent on schedule
  • Review steps wherever a person should decide
03

A clear trail

See what moved, when and why, so you can trust the connections and notice problems early.

  • Health checks that notice when a connection stops
  • A readable history of what changed and where
  • Regular reviews as your work and tools change

HOW FLOW COMES TOGETHER

Map it first.
Connect with care.

01

Map

Walk us through your systems, the records they share and where things get typed in twice.

02

Shape

Agree which system leads for each record, what gets automated and where a person reviews.

03

Connect

Build the connections in stages, test them with real records and watch the results together.

04

Hand over

Receive the change history, health checks and simple notes on how everything fits together.

TRY THE HANDOVER

One record.
Follow every step.

Try a sample site-visit request. Two times disagree, so the handover waits for your decision. Every record and connection in this example is fictional.

  1. 01

    Receive the request

A site visit is requested for Monday at 09:00.

  2. 02

    Review the exception

The existing calendar says 10:00. A person chooses the time that should lead.

  3. 03

    Hand over after approval

The selected time and the reviewer’s decision stay in the change history.

This example runs on this page. No records are sent to an external system.

FLOW IN THE SHOP

Start small.
Connect what matters.

Flow work is shaped around your own systems, so we agree the connections, cost and schedule with you first. Prices are in Canadian dollars, and final scope is confirmed before work begins.

QUESTIONS

Good to know
before we begin.

Something else on your mind? Call Andrés at (778) 488-8113.

Do we need to replace the software we use?

No. Flow works with the systems you already have. We look at what each one can connect to and recommend changes only where they make the work simpler.

What happens when two systems disagree?

You decide ahead of time which system has the final word for each kind of record. When something still doesn’t line up, Flow flags it for a person to review rather than guessing.

Which systems can Flow connect?

Many HR, payroll, scheduling, accounting and field tools, along with calendars and email, offer a way to connect. Some don’t, or only partly. We check what yours allow early on and tell you plainly what is possible.

How do you look after employee and financial records?

Each connection only gets the access it needs, and the setup is designed with Canadian privacy obligations in mind. We don’t give legal advice, so we’re glad to work alongside your own advisers.

How long does it take?

It depends on how many systems are involved. We usually begin with the one or two connections that matter most, so useful progress comes early. You will have a realistic schedule before work begins.
